The PTO is actively seeking nominations for
parents, teachers, and staff of Capital Prep to become officers and committee chairs for the Parent Teacher Organization 2014-2015 school year.
Nomination Period: Jan 19 - Feb 7, 2014
The nominees will be presented at
the February 20, 2014 General PTO meeting and the candidates will be voted on online between February 21 to 28, 2014. All officers and chairs
are elected to serve for a one-year term and not more than two years.
Nobody can do everything, but everyone can do something!!
Qualifications
- Ability to work respectfully with others
- Demonstrate enthusiasm for the vision, purpose, and strategic plan of PTO
- Be a current member of the Capital Prep PTO (Join)
- Ability to use technology to maintain records and use communication tools
- Ability to attend monthly Executive Board and General Member meetings
- Represent the Board in a positive, cohesive manner with knowledge of all events or the ability to forward to the appropriate representative
The governing body of the Capital Prep PTO is the By-laws and the policies within. However, the job duties and responsibilities are not clearly identified within the By-laws. The following is a list and brief description of each PTO office:
- Partner with Principal and teacher representative in meeting the Mission and Purpose of the PTO Organization
- Partner with Treasurer to create initial committee budgets and management of the budgets through the year. When there are discrepancies team with VP’s and Treasurer to resolve
- Oversees activities of the entire PTO, chairs the Executive and General Meetings, and attends a monthly meeting with the school Principal
Preside at all PTO meetings - Is an informal member of all committees
- Prepare updates to By-laws on an on-going basis; present for approval
- Perform all other duties usually pertaining to the office
VICE PRESIDENT (3: Lower School, Middle School, High School)
- Act as an aid to the President
- Assume the office of President if called upon
- Perform the duties of the President in President’s absence
- Investigate, coordinate and host fundraising and educational support programs for the C-Prep students in the grades position represents
- Manage all committees as assigned
- Update Board at monthly meetings on upcoming events, potential issues and or changes.
SECRETARY
- Record and disseminate minutes of all meetings of the PTO
- Maintain all old records and correspondence
- Prepare and distribute notices regarding meetings
- Act as chairman of the membership committee and conduct the annual enrollment of new members
- Maintain and update the PTO website and Facebook site
- Send email blasts as requested by the PTO, via Blazer Happenings
- The Secretary also maintains the Board roster, membership roster, and volunteer rosters
TREASURER
- Receive and deposit all money of the PTO
- Be available to committee chairs for purchases
- Reconcile monthly bank statements
Keep an accurate record of all receipts and expenditures - Determine, along with PTO Board, committee annual budgets.
File PTO Tax Returns, apply for/maintain non-profit designation - Coordinate annual audit of all records
FUNDRAISING CHAIR (2: Lower School, Upper School)
- Investigate and coordinate various fundraisers as requested by the PTO
- Manage all committees as assigned
- Partner with Treasurer to create initial committee budgets and management of the budgets through the year. When there are discrepancies team with committee chairs and Treasurer to resolve
SCHOOL REPRESENTATIVE
- Act as a liaison between the C-Prep Staff and the PTO Board and Membership
- Enlist the support of PTO in advancing educational programs at Capital Prep
- Assist the Principal in the presentation of funding requests on behalf of the staff
- In the absence of the Principal, present funding requests
- Report PTO activities at staff meetings
